Email QR Code

What an email QR Code is and how it works

An email QR Code is a code with your address, the subject and the opening lines written into the pattern. The phone reads them with the camera and opens the mail app with the message ready. Nobody has to spell an address out loud — so there is no typo to stop the message arriving.

What happens after the scan
1Someone points a camera at the QR Code
2The mail app opens with a new message
3All that is left is to press “Send”
The message that opens for them
To
orders@company.com
The email addressThe one the message will come to. The only field the code cannot be made without.
Subject
Enquiry from a flyer
The subject — optionalA short line that makes messages like these easy to pick out from the rest.
Message
Hello! I would like to ask about…
The text — optionalThe opening lines written for them: they add their own and send it.
Send That is all the person has left to do.
No account needed

The message sits in the pattern itself, not with us: the code is made and downloaded straight away, with no sign-in and no sign-up.

It opens with no signal

The mail app opens even where the signal will only turn up a minute later. The message goes off by itself as soon as it does.

Keep the text short

The whole message travels inside the pattern. The longer it is, the smaller the squares — and the closer the camera has to be held.

Comparison

What is the difference between a static and a dynamic QR Code?

The same pattern on paper — different options once it is printed.

Static QR URL Analytics
  • A static code is tied to its link for good, and that link cannot be changed.
  • Analytics are not available for codes like this either.
Dynamic QR URL 1 URL 2 PDF Menu Analytics
  • The link or the file the code leads to can be changed at any moment.
  • Analytics show the number of scans, the countries and the devices.
  • You can set a password, an expiry date and a limit on how many people it lets in.

Styling

A QR Code in your brand colours

Add a logo, your brand colours and the shape of the elements — and the QR Code becomes part of your design on packaging, in a menu, on a business card or in a shop window.

What you can set in the editor above
  • Logo — upload your own file.
  • Colours — set the code, the background or a gradient.
  • Shape and eyes — choose the shape of the elements.
  • Frame — add a caption and set the style.
  • Preset — save the styling for your next QR Codes.
Where to use it

Where an email QR Code works best

Where someone is ready to write right now but not ready to hunt for where to write to: a flyer, packaging, a stand, the last slide.

A flyer and a notice

Someone has read the offer and wants to check a detail. The code opens a message with the subject already in place: no address to look for on a website, and the subject tells you at once which flyer they came from.

WRITE TO US To Subject Send

Packaging and a warranty card

A question about the goods comes to your inbox rather than to a review on a shop page. The subject “Question about an order” fills itself in, and messages like that can be dealt with in one batch.

A jobs stand

A candidate applies straight from the stand, while they still remember the conversation. Ask them in the ready-made text to attach a CV — half the work is done already.

The last slide of a presentation

Nobody in the audience has to copy an address off the screen: they point a camera and the message to you is already open — with the title of the talk in the subject line.

An office door and a reception desk

When there is nobody there, a message takes the place of the conversation: the person does not leave with nothing. A good neighbour here is a phone number QR Code — some people would rather call.

Before you print

A short check while the flyers are still on hold

The address with no typo

Scan the code yourself and read the recipient line in full: after printing it cannot be fixed.

Its own subject for every place

“Enquiry from a flyer” and “Question from the packaging” — the subject shows at once which piece of print worked.

Shorter text

The longer the message written into the code, the denser the pattern and the closer the camera has to be held to it.

A paper test

Print one sheet and scan it: the message should open the first time, not the second.

Questions and answers

Common questions about email QR Codes

About the address and the subject, about the length of the text, about which mail app opens for the person, and about what to do if the mailbox changes one day.

No answer here? Write to us
How do I make a QR Code for an email address?
Type the email address into the generator above — that is the only field it cannot do without. Add the subject and the opening lines if you want them. The finished code downloads straight away, with no sign-up.
Do I need an account to make an email QR Code?
No. The address, the subject and the text fit into the pattern whole, so there is nothing for us to keep — the finished code downloads as soon as you press the button.
Do I have to fill in the subject and the text?
No, the address alone is required. The subject and the text are for people who want enquiries to arrive looking the same: a line like “Enquiry from a flyer” can later be sorted even by a mail rule.
How long should the message be?
One or two sentences. Every extra line adds squares to the pattern, the squares get smaller, and the code has to be held closer to the eyes — on a flyer in the hand that is still bearable, on a stand it is not.
Which mail app will open for the person?
The one they use: Gmail, Mail on an iPhone, Outlook — the phone puts in its own. There is nothing to choose for them and nothing to set up.
Can I change the email address once the QR Code is printed?
No, the address stays in the pattern for good. If the mailbox might change — say the department gets a shared one — send people to a page with a contact form through a URL QR Code: its target is edited in your account.
Does an email QR Code work without the internet?
It always reads: the pattern loads nothing. The mail app opens there and then, and the message itself goes off the first moment the phone has a signal — in a warehouse basement and on a train it looks exactly the same.
Can I see how many people wrote from the code?
A code like this has no counter of its own: it opens nothing on our side, so there is nothing to count. The counting is done by the mail itself — give every place its own subject and the messages sort themselves into folders without you.
Can an email QR Code be styled in brand colours?
Yes: colour, gradient, the shape of the dots, a logo in the middle. The caption in the frame matters more than the styling here — from the outside this code is no different from any other, and without the word “Write” nobody knows what is coming.
Where does an email QR Code come in useful?
Where a written enquiry is what you are waiting for: a flyer, packaging, a jobs stand, the last slide, an office door. They have one thing in common — the person is ready to write now, but not to hunt for where.
Which formats does the finished QR Code download in?
PNG, SVG and PDF. The print shop gets SVG, while PNG is handy to put into your own email signature and into a job advert.
Email or business card: which to choose for a badge or a stand?
If an enquiry is what you want — email. If the person should take your contact details away in full, build a vCard QR Code: it opens a card with the phone number and the email, and all of it goes into the address book with one tap.

Make a QR Code with a ready-written message

Type the address into the generator above, add a subject and the opening lines if you like, style the code in your brand colours and download it for print — free, no sign-up. The person only has to press “Send”.

Report a QR Code

A code leads to a scam, a virus or someone else’s material — tell us and we will look into it

If a QR Code from our domain leads to suspicious or unwanted material, let us know through this form.

Give the link and tell us why you think the code is illegal or breaks our Terms of Service. Leave your name and email, and we’ll confirm we’ve received your report and tell you what we decide.
